Our terms of service are provided in good faith to define the working conditions of Igloo Media, our crew and to ensure a transparent, mutual understanding of our terms and conditions of service.
Please read our terms of service carefully and contact us with any questions before accepting our quotation.
DEFINITIONS
- ‘IM”’ means Igloo Media
- Client’ means any agency, business, or individual engaging IM.
GENERAL TERMS
- Quotations are valid for 30 days.
- All rates are quoted in Australian dollars and exclude GST.
PAYMENT TERMS
Standard terms are pre payment .
(1) PRE PAYMENT
- 50% deposit invoiced on quote acceptance – payment required 48 hours prior to shoot to confirm booking.
- For strategy, scripts and storyboards 50% payment is required prior to the shoot days
- For shoots, final balance payment due and prior to footage handover.
- For projects, final balance payment due within 14 days of delivery of final (low res) edit and prior to delivery of master video files.
- High res footage or masters will not be released until the balance has been paid.
- Payment can be made via direct debit (EFT receipt must be provided).
(2) 14-DAY ACCOUNT 50/50
- 50% deposit invoiced on quote acceptance – payment required 48 hours prior to shoot to confirm booking.
- Deposit required at least 48 hours (excluding weekends) prior to the first day of project/shoot commencement to confirm your booking.
- If the deposit has not been received at least 24 hours (excluding weekends) prior to the first day of project/shoot commencement, the booking will be considered forfeited and will be automatically canceled. Any associated project costs incurred by LP up until cancellation will be invoiced to the client.
- Final balance invoiced on completion of shoot or delivery of final assets.
- Payment due within 14 days of invoice issue.
(3) 30-DAY CREDIT ACCOUNT
Payment due within 30 days of invoice issue
- 50% deposit invoiced on appointment
- 30% invoiced on completion of production/shoot or 50% project completion
- 20% balance invoiced on delivery of final assets.
(4) LONG-TERM TIMELAPSE PROJECTS
- Unless otherwise agreed in writing, all one-off fees including installation fees and project completion deliverables are payable on appointment, prior to installation
- Monthly fees will be invoiced monthly to the client at the beginning of each month
- Payment terms at Net 30 days from date of invoice
QUOTE ACCEPTANCE
- Acceptance is defined as any email or text communication, from the Client indicating their acceptance of a IM quotation and/or wish to proceed with the provision of services.
- IM regards all approvals by a representative of your organisation as final.
- Your acceptance of this quote certifies your business’ commitment to pay for all quoted amounts by IM and agreement of all terms and conditions herein.
- If you would like to discuss any of our terms and conditions of service or request alternative payment terms, this must be done prior to accepting the quotation. Payment terms are strictly binding once the quotation has been accepted and we will not accept later requests to negotiate payment terms.
- We will not accept any Client’s ‘standard payment policies’ unless this has been communicated and agreed by both parties in advance of accepting a quotation.
- We will not accept any Client request to withhold payment until their ‘end client’ has remitted payment.

International Payments
Please allow for any bank transaction or currency conversion fees when making a payment to ensure the funds received by us is the full amount due.
LATE PAYMENT
- We reserve the right to suspend all work until the overdue amounts are paid.
- Igloo Media withholds all usage rights for the media until cleared payment is received.
SCOPE OF WORK
- This quote reflects the work required to complete the brief provided by the Client.
- Additional requests or extra work is deemed outside the scope of this brief must be quoted separately.
- It is the Client’s responsibility to ensure a full and comprehensive brief is supplied prior to job commencement.
BOOKINGS
‘Hold’ Bookings can be placed for potential yet unconfirmed shoots days. Clients will be contacted if another Client requests the same booking period and given the opportunity to confirm the booking. If the original Client does not confirm, IM reserves the right to honour the second Client’s booking request.
Booking Confirmation
Bookings will not be considered confirmed until the booking quotation has been formally accepted in writing and all requirements of the applicable payment terms have been fulfilled.
Weather Days
Weather standby and weather contingency days must be negotiated and agreed in writing by IM in advance of quote acceptance.
CANCELLATIONS
If the client wishes to cancel it must do so in writing and no purported cancellation or postponement will have effect until agreed to in writing by IM.
Shoots
- Less than 48 hours (excluding weekends) to shoot start/call time: 50% of total fees and any associated costs.
- Less than 24 hours (excluding weekends) to shoot start/call time: 100% of total fees and any associated costs.
Projects
- IM considers any acceptance of a project quote as final and reserves the right to charge 100% of the project fee regardless of stage of project completion at the point of cancellation request.
- In exceptional circumstances where a cancellation request is made following project acceptance by the client, IM may, at our discretion, consider part refund of project fees.
- The client agrees to indemnify IM against all claims by third parties incurred by postponement or cancellation.
STANDARD WORKING DAY
Working Day
A working day is from call time to wrap time and includes any pack down, footage transfer time plus any travel time to locations outside Sydney.
Standard shoot day
Full day = 8 hours or part thereof / half day = 4 hours or part thereof.
Call time
Call time is defined as the time at which the crew are required to arrive at the first shoot location.
Wrap
Wrap time is defined as crew departure from the final shoot location.
Pack down and footage transfer
When the shooting schedule is managed by the Client, it is the responsibility of the Client to allow adequate time in the schedule for data wrangling and pack down to avoid crew overtime charges.
Early wrap
Shoots ending early will be billed at the original agreed booking rate regardless of an early wrap.
Turnaround
Turnaround, the rest period from shoot day wrap to next day shoot call time, is a minimum of 10 hours to manage fatigue and ensure the safety of crew and those around them.
TRAVEL
Travel time rate

- Travel time is charged for any additional travel time outside the standard shoot day or for travel only days.
- Travel time beyond the standard shoot day is charged at 50% of standard shoot rates.
- Covers opportunity cost of lost shoot bookings, crew and equipment time in transit, insurance. Does not include per diems, fuel, airfares or any associated travel costs.
